Privacy policy

This policy explains what we do with your personal information when you contact us through this website. We have kept it short and in plain English, because we genuinely do not collect much.

Who we are

This website is run by Bawtry Lodge Country Park Ltd (“we”, “us”, “our”), a company registered in England and Wales under company number 14966501. We are the data controller for the information you give us here.

What we collect, and when

When you fill in one of our forms, to ask about a lodge, book a viewing, request a brochure or register your interest, we collect:

• your name and phone number, so we can reply;
• your email address, if you choose to give it (it is optional);
• anything you write in your message, and any preferred days or times you give for a viewing;
• the lodge or package you tell us you are interested in, if any;
• the date and time you sent it, and which form you used.

That is it. We do not ask you to create an account, we do not take payments on this website, and we do not build a profile of you.

Asking us for a brochure, booking a viewing or sending an enquiry does not sign you up to our newsletter. We only send you news and marketing about the park if you separately choose to join the newsletter, which is a different form and asks you to opt in.

The newsletter

If you sign up to our newsletter, we collect your email address, your first name if you give it, and the topic you tell us you are interested in. We also keep a record of your consent: the exact wording you agreed to, the date and time, and the IP address you signed up from, so that we can show you opted in.

Our legal basis for sending you the newsletter is your consent, which you give when you sign up, and which you can withdraw at any time by unsubscribing or by contacting us. We keep the record of your consent on the basis of our legitimate interest in being able to show that you agreed. We use these details only to email you news about our lodges, the park and events, and we do not share them with anyone else to market to you. When you unsubscribe we take you off the list.

We use Mailchimp, an email marketing service provided by Intuit Inc., to run our newsletter list and send these emails. When you sign up, we share your email address, your first name and the IP address you signed up from with Mailchimp, so it can send you our newsletter. You can unsubscribe at any time using the link in any email we send. Mailchimp is based in the United States, so your details are transferred outside the UK. That transfer is protected by safeguards recognised under UK law: Intuit is certified under the UK extension to the EU-US Data Privacy Framework, and Mailchimp’s data processing terms also include the standard contractual clauses as a backup. Google Analytics

If you agree to it through our cookie banner, we use Google Analytics to see how people use the site in general, for example which pages are popular. It is measured in a way that does not identify you personally, and it only happens if you accept. If you decline, or ignore the banner, no analytics are collected. There is more detail in our cookie policy.

Why we use your information, and our legal basis

We use the details you send us to answer your enquiry, arrange a viewing, send a brochure and follow up with you while your enquiry is live. Our legal basis for this is our legitimate interests: replying to someone who has asked us about buying a lodge is exactly what you would expect when you get in touch, and we keep our contact to what your enquiry is about. Sending us the form is your request for us to get back to you, and we use your details only for that, not for wider marketing.

For Google Analytics, our legal basis is your consent, given separately through the cookie banner, which you can withdraw at any time.

Who sees it

We do not sell your details, and we do not pass them to anyone else to market to you. The only third parties involved are the trusted suppliers who help us run the website and reply to you. They only act on our instructions, with one exception: Google, if you have agreed to analytics, may also use some analytics data under its own privacy terms. The suppliers are:

• our website hosting provider, which stores the site and its data;
• Cloudflare, which helps keep the site fast and secure;
• our email provider, which delivers the emails we send and receive about your enquiry;
• Mailchimp (Intuit Inc.), which runs our newsletter list and sends our newsletter, if you have signed up to it;
• Google, if you have agreed to analytics.

We may also share information if the law requires us to, for example in response to a valid legal request.

Where your information is held

Some of these suppliers process information on servers outside the UK. Mailchimp (Intuit Inc.), which we use for the newsletter, is based in the United States, and Google and Cloudflare may also process some information overseas. Matterport, which runs the 3D lodge tours, is also based in the United States and receives technical details about your device if you start a tour. Where your information goes outside the UK, it is protected by safeguards recognised under UK law, such as an adequacy decision, the UK extension to the EU-US Data Privacy Framework, or standard contractual clauses.

How long we keep it

We keep enquiry details for up to 24 months from the last activity on your enquiry, in case you get back in touch, and then we delete them. If you go on to buy a lodge, we keep the information we need for our records and legal obligations for as long as necessary. You can ask us to delete your details sooner at any time.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct anything that is wrong;
• ask us to delete it;
• ask us to restrict or stop using it, or object to us using it;
• withdraw your consent at any time (this does not affect anything we did before you withdrew it).

To do any of these, just contact us using the details at the top of this page. We will not charge you, and we will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator:

Keeping your information safe

We take reasonable steps to protect your information, including a secure (https) website and access controls, so that only the people who need to see your enquiry can.

Changes to this policy

If we change how we handle your information, we will update this page. The date it was last changed is shown at the top.
